This Disclaimer applies to the Submittal Assistant website, desktop software, and related services provided by Submittal Assistant, LLC.
Purpose of the Software
Submittal Assistant is a desktop software application designed solely to assist users with preparing PDF drawing packages by extracting individual PDF drawing sheets and applying user-reviewed filenames.
The software is intended to improve the efficiency of the PDF extraction, file-naming, review, and export process.
Submittal Assistant is a file-preparation utility only. It is not a permitting platform, document-submission service, government portal, compliance-review service, or professional design service.
Not a Government Service
Submittal Assistant is an independent third-party software product.
It is not affiliated with, approved by, endorsed by, sponsored by, or developed on behalf of:
- California Office of the State Fire Marshal (“OSFM”)
- Division of the State Architect (“DSA”)
- Department of Health Care Access and Information (“HCAI”)
- Any federal, state, county, municipal, or local government agency
Any reference to OSFM or another government agency is provided solely to describe the type of drawing-file workflow the software is intended to support.
No Upload or Submission Services
Submittal Assistant does not:
- Upload drawing files to OSFM
- Upload drawing files to any government portal
- Submit documents to OSFM or any other agency
- File permit applications
- Transmit documents to an authority having jurisdiction
- Communicate with an agency on the user’s behalf
- Track the status of an agency submission
Users are solely responsible for uploading or submitting their documents through the applicable agency’s official submission process.
No Compliance Review
Submittal Assistant does not review or determine:
- Building code compliance
- Fire code compliance
- Accessibility compliance
- Engineering or architectural compliance
- Agency-specific submission compliance
- Drawing-package completeness
- Technical accuracy
- Submission readiness
The software does not replace review by a licensed architect, engineer, code consultant, attorney, authority having jurisdiction, or other qualified professional.
User Responsibility
You are solely responsible for reviewing all exported files before using, distributing, uploading, or submitting them.
This includes verifying:
- Drawing sheet numbers
- Sheet titles
- Generated filenames
- Folder indicators
- Sheet-order indicators
- Version indicators
- Drawing order
- Page orientation
- File content
- File completeness
- Duplicate or missing sheets
- Compliance with applicable agency requirements
Submittal Assistant is intended to assist your workflow and must not be relied upon as the sole method of quality control.
OCR and Automated Recognition
The software may use Optical Character Recognition (“OCR”), title-block detection, automated text recognition, or other automated methods to assist with identifying drawing information.
Automated recognition may produce inaccurate, incomplete, or unexpected results.
Users are solely responsible for reviewing and correcting all automatically identified or generated information before using or submitting any exported file.
No Guarantee of Acceptance or Approval
Use of Submittal Assistant does not guarantee:
- Agency acceptance
- Administrative acceptance
- Plan approval
- Permit issuance
- Successful upload or submission
- Compliance with agency requirements
- Error-free filenames
- Error-free OCR results
- Complete or correctly ordered drawing packages
Final acceptance, review, approval, and permit issuance are determined solely by the applicable authority having jurisdiction.
Local File Processing
During normal operation, PDF drawing files are processed locally on the user’s computer.
Submittal Assistant does not upload, transmit, store, or retain customer drawing files as part of the normal PDF extraction and renaming workflow.
Internet access may be used for software activation, license verification, subscription validation, updates, or related licensing services.
Original Files and Backups
Users are responsible for retaining the original PDF drawing package and maintaining appropriate backups of all project files.
Users should not delete, overwrite, transmit, or submit original or exported documents without first confirming that the files are complete, accurate, accessible, and suitable for their intended use.
No Professional Advice
Information provided through the website, software, documentation, or customer support is for general informational and software-support purposes only.
Nothing provided by Submittal Assistant, LLC constitutes legal, architectural, engineering, code-compliance, permitting, regulatory, or other professional advice.
Software Availability and Accuracy
The software and related services are provided on an “AS IS” and “AS AVAILABLE” basis.
Submittal Assistant, LLC does not warrant that:
- The software will be uninterrupted or error-free
- Every PDF format will be processed correctly
- Every title block will be recognized
- Every sheet number or title will be identified correctly
- Every exported filename will be accurate
- The software will remain compatible with every operating system or third-party application
Limitation of Liability
To the fullest extent permitted by applicable law, Submittal Assistant, LLC and its owners, officers, employees, contractors, affiliates, and service providers shall not be liable for any direct, indirect, incidental, consequential, special, exemplary, or punitive damages arising from or relating to the use of the software, website, related services, or exported files.
This limitation includes damages or losses relating to:
- Incorrect filenames
- OCR or automated-recognition errors
- Missing or duplicate sheets
- Drawing-order errors
- Export errors
- Rejected or returned submittals
- Permit or review delays
- Project delays
- Agency comments
- Lost profits or revenue
- Business interruption
- Loss or corruption of data
- Costs to reproduce, revise, or resubmit documents
Users assume full responsibility for reviewing all exported files and complying with all applicable submission requirements.
